How to Match Batch or Lot Numbers with Supporting Documentation

Create a four-point match
Record the product name, stated amount or specification, lot identifier and report identifier shown on the sales page. Compare those fields with the label or stock image, the analytical record and any laboratory verification page. Differences in punctuation may be harmless; differences in the actual identifier need explanation.
- Sales-page lot
- Label or stock-image lot
- COA sample or batch
- Independent verification reference
Check timing and stock changes
A report can pre-date, overlap or post-date the stock listing. Record the dates rather than assuming relevance. If a supplier rotates stock without preserving earlier records, note that the historical chain cannot be reconstructed from the public site.
Treat a match as one link
Matching text increases confidence that the supplier intends the report to describe the listed lot. It does not establish how the sample was selected, transported or stored, or whether every unit came from the same production run.
Document unresolved discrepancies
Ask the supplier for clarification using neutral wording and preserve the response. A missing answer is an evidence gap, while a contradictory answer may justify a scored limitation only after editorial review.
- Quote the conflicting identifiers
- Link both source pages
- Record the date and time
- Invite correction before drawing a conclusion
